How Cloudapitools collects, uses, retains, and protects personal data.

Data controller

Data we collect

  • Contact details you submit via forms or email (name, email, organisation, message content, optional engagement interest and asset-count notes)
  • Communications related to scoping and delivering engagements
  • Technical data such as IP address and basic browser information when you visit the site (and analytics data if you accept optional cookies)

We do not seek sensitive personal data through the website contact form. Please do not include identity document numbers or payroll data in enquiry messages.

Purposes

We use personal data to respond to enquiries, scope and deliver engagements, manage billing, improve the site (where analytics are consented), and meet legal obligations.

Where the Personal Data (Privacy) Ordinance (PDPO) of Hong Kong applies, we process data for the purposes for which it was collected, with your consent where required, and as needed to perform a contract or take steps at your request before a contract.

Retention

Enquiry records are typically retained for up to 24 months if no engagement follows. Engagement records are retained for seven years after completion unless a longer period is required by law or professional standards. Analytics data, if collected, follows the durations in our Cookies notice.

Sharing

We may share data with IT and email providers who process data on our instructions, professional advisers, and authorities when required by law. We do not sell personal data.

International transfers

If tools or advisers process data outside Hong Kong, we take steps appropriate under the PDPO to protect the data, including contractual safeguards where applicable.

Your rights

Subject to the PDPO, you may request access to and correction of your personal data. You may also withdraw consent for optional processing (such as analytics cookies) without affecting essential site operation. Contact info@cloudapitools.digital to exercise these rights.

We apply reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or misuse.
